4.6 Marketing preferences
Your preferences for receiving newsletters, cohort announcements, pathway updates, event invitations and other marketing communications, including opt-in and opt-out records maintained to comply with the PDPA and the Spam Control Act where applicable.
4.7 Sensitive personal data
AILearnPath generally does not collect sensitive personal data such as health information, unless you voluntarily provide it (for example, accessibility accommodation requests) or where required by law. Where we do collect such data, we will obtain your explicit consent and apply additional safeguards.
5. How we collect personal data
We collect personal data through the following means:
- Directly from you — when you complete forms on our website, enrol in a programme, attend a lab, communicate with us or participate in assessments;
- Automatically — through cookies, server logs and analytics tools when you browse our website (subject to your cookie preferences);
- From third parties — such as SkillsFuture Singapore, employer sponsors, referral partners or payment processors, where you have authorised disclosure or where permitted by law;
- From publicly available sources — such as professional networking profiles, where relevant to corporate training engagements and where collection is reasonable for the stated purpose.
Where personal data is provided by a third party (for example, your employer enrolling you in a corporate pathway), we expect that party to have obtained your consent or have another lawful basis for sharing your data with us.
6. Purposes of collection, use and disclosure
We collect, use and disclose personal data for the following purposes, in accordance with the PDPA:
- Processing pathway enquiries, enrolment applications and lab session bookings;
- Delivering courses, modules, assessments, capstone projects and completion certificates;
- Managing learner accounts, attendance, progress tracking and academic records;
- Communicating programme schedules, venue changes, assessment deadlines and campus notices;
- Processing payments, issuing invoices and administering SkillsFuture or subsidy claims;
- Providing learner support, technical assistance and accessibility accommodations;
- Improving our curricula, lab materials, website and learning experience through analytics and feedback;
- Conducting quality assurance, instructor evaluations and programme reviews;
- Sending marketing communications about new pathways, cohort openings and campus events (with consent);
- Complying with legal obligations, regulatory requirements and lawful requests from authorities;
- Protecting the rights, property and safety of AILearnPath, our learners, staff and the public;
- Managing corporate training contracts and employer-sponsored enrolments;
- Recruiting instructors and vendors, and managing contractual relationships.
We will not use your personal data for purposes incompatible with those described above without notifying you and, where required under the PDPA, obtaining your consent.
7. Legal bases and consent
Under the PDPA, organisations must obtain an individual's consent before collecting, using or disclosing personal data, unless an exception applies. AILearnPath relies on the following bases:
- Consent — for marketing communications, non-essential cookies and optional data uses clearly described at the point of collection;
- Contractual necessity — to perform our obligations under enrolment agreements, corporate training contracts and service terms;
- Legal obligation — to comply with tax, accounting, SkillsFuture reporting and other regulatory requirements;
- Legitimate interests — for fraud prevention, network security, internal analytics and service improvement, balanced against your privacy rights;
- Vital interests — in rare circumstances where disclosure is necessary to protect an individual's life, health or safety.
You may withdraw consent at any time by contacting [email protected]. Withdrawal does not affect the lawfulness of processing based on consent before its withdrawal. Note that withdrawing consent for essential processing may limit our ability to continue delivering enrolled programmes.
8. Disclosure of personal data
We may disclose personal data to the following categories of recipients, subject to appropriate safeguards:
- Service providers — cloud hosting, learning management systems, payment processors, email delivery, analytics and IT support vendors bound by confidentiality and data protection obligations;
- Government agencies — SkillsFuture Singapore, Ministry of Education or other authorities where required for subsidy claims, audits or regulatory compliance;
- Corporate sponsors — where your employer has funded your enrolment and requires progress or completion reports;
- Professional advisers — lawyers, accountants and auditors bound by professional confidentiality;
- Instructors and teaching assistants — for programme delivery, assessment and learner support;
- Law enforcement or regulators — when required by law, court order or to protect legal rights.
We do not sell personal data to third parties. Where data is transferred outside Singapore, we ensure that the recipient provides a standard of protection comparable to that under the PDPA, through contractual clauses, adequacy assessments or other approved mechanisms.
9. Data retention
We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, including to satisfy legal, accounting and reporting requirements. Retention periods vary by data category:
- Enrolment and academic records — retained for seven (7) years after programme completion or last interaction, to support certificate verification and regulatory enquiries;
- Financial and tax records — retained for seven (7) years in accordance with Singapore tax legislation;
- Marketing preferences — retained until you withdraw consent or request deletion, plus a suppression record to honour opt-out requests;
- Website analytics — aggregated or anonymised data may be retained indefinitely; identifiable logs are retained for up to twenty-six (26) months;
- Enquiry records — retained for up to twenty-four (24) months unless an enrolment relationship is established;
- Cookie consent preferences — stored for six (6) months, after which the cookie banner will reappear.
When personal data is no longer required, we securely delete or anonymise it in accordance with our data retention schedule and internal policies.
10. Data security
AILearnPath implements reasonable administrative, technical and physical safeguards to protect personal data against unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks. Measures include:
- Encryption of data in transit using TLS/SSL protocols;
- Access controls and role-based permissions for staff and instructors;
- Secure authentication for learner accounts and administrative systems;
- Regular security reviews and vulnerability assessments of our website and learning platforms;
- Staff training on data protection obligations and incident response procedures;
- Physical security at our Telok Ayer campus for paper records and devices;
- Vendor due diligence and contractual data protection requirements.
While we take reasonable steps to protect your data, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security but will notify affected individuals and the Personal Data Protection Commission of qualifying data breaches as required under the PDPA.
11. Your rights under the PDPA
Under the Personal Data Protection Act 2012, you have the following rights in relation to your personal data held by AILearnPath:
- Right of access — to request a copy of your personal data and information about how it has been used or disclosed within the past year;
- Right to correction — to request correction of inaccurate or incomplete personal data;
- Right to withdraw consent — to withdraw consent for processing that relies on consent, subject to legal and contractual restrictions;
- Right to complain — to lodge a complaint with the Personal Data Protection Commission if you believe we have not handled your data in accordance with the PDPA.
To exercise any of these rights, submit a written request to [email protected] with sufficient detail to verify your identity. We may charge a reasonable fee for access requests as permitted under the PDPA. We will respond within thirty (30) days unless an extension is required and communicated to you.
12. Cookies and similar technologies
Our website uses cookies and similar tracking technologies to enable essential functionality, remember your preferences and analyse site traffic. Non-essential cookies are placed only with your consent via our cookie banner. For a full description of cookie categories, durations, vendors and opt-out options, please read our Cookie Policy.
13. Marketing communications
With your consent, we may send you emails or messages about AILearnPath pathways, cohort openings, lab events, campus updates and educational content relevant to AI literacy learners in Singapore. Every marketing message includes an unsubscribe link or instructions to opt out.
You may also opt out at any time by emailing [email protected] with the subject line "Unsubscribe". We will process opt-out requests promptly and maintain a suppression list to prevent further marketing communications to that contact channel.
Transactional and service-related communications — such as enrolment confirmations, schedule changes, assessment notices and certificate delivery — are not marketing messages and may continue even if you opt out of promotional communications.
14. Children's personal data
AILearnPath programmes are designed for learners aged eighteen (18) and above unless otherwise stated for specific youth workshops with parental consent. We do not knowingly collect personal data from children under thirteen (13) years of age without verifiable parental consent. If you believe a minor has provided personal data to us inappropriately, please contact [email protected] and we will take steps to delete such data promptly.
15. Data breach notification
In the event of a data breach that is likely to result in significant harm to affected individuals or is of significant scale, AILearnPath will notify the Personal Data Protection Commission and affected individuals as soon as practicable, in accordance with the PDPA's data breach notification obligations. Our internal incident response procedure includes containment, assessment, remediation and documentation of all suspected or confirmed breaches.
16. Third-party links and embedded content
Our website may contain links to third-party sites, embedded video content, learning tool integrations and social media widgets. AILearnPath is not responsible for the privacy practices of those third parties. We recommend reviewing the privacy policies of any external service before providing personal data.
17. Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, programmes, technology or legal requirements. The "Last updated" date at the top of this page indicates when the policy was most recently revised. Material changes will be communicated via a notice on our website or, where appropriate, by direct email to enrolled learners. Continued use of our website or services after an update constitutes acknowledgement of the revised policy, subject to your rights under the PDPA.
18. Governing law
This Privacy Policy is governed by the laws of the Republic of Singapore. Any disputes relating to personal data handling shall be subject to the exclusive jurisdiction of the Singapore courts, without prejudice to your right to lodge a complaint with the Personal Data Protection Commission.
